This Privacy Policy describes how VisibleSeed LLC ("VisibleSeed", "we", "us"), a Texas-registered company founded May 2026 and based in Houston, Texas, collects, uses, retains, and shares information when you visit visibleseed.com or contact us.

Read it carefully. By using the site you agree to the practices described here. If you don't agree, please don't use the site or submit information through it.

1. Information we collect

Information you give us

• Contact form: name, email, phone (if provided), optional company name, the message you send, and any project details you share.
• Project inquiry form (/start): name, email, optional phone and company, industry, organization type, optional revenue range, what you're trying to build, areas of interest, budget range, timeline, and any additional notes.
• Discovery call booking: first/last name, email, and meeting topic. This data is sent from your browser to Cal.com to record the booking.
• Email correspondence: any reply, attachment, or content you send to hello@visibleseed.com or other VisibleSeed addresses.

Information collected automatically

• Server / request logs: IP address, user-agent, referrer, timestamp, and the URL you requested. We use these for security, fraud/spam prevention, and aggregate analytics.
• Cookies and similar tech: a small set described in section 5 below. The site uses cookieless edge analytics by default.

We do not intentionally collect special-category data (health, biometric, racial, religious, sexual-orientation data, etc.). Please don't send it through the contact forms.

2. Why we use it

• To reply to inquiries and scope the engagement you describe.
• To send a written proposal, statement of work, or follow-up.
• To prevent and investigate fraud, abuse, and spam (e.g. honeypot fields, Cloudflare Turnstile, rate limits).
• To meet legal, accounting, and tax obligations applicable to a U.S. LLC.

We do not sell, rent, or share your information with third parties for advertising or for their own marketing purposes. We do not use your contact data to train any AI model.

3. Service providers we rely on

The following processors handle some of your data on our behalf, under contract, with technical and organizational safeguards in place:

• Cloudflare - hosting (Pages), CDN, DNS, bot protection (Turnstile), edge logs.
• Oracle Cloud Infrastructure and Amazon Web Services - cloud compute and storage that run client applications and services.
• Resend - outbound transactional and reply email delivery.
• Cal.com - schedules and records consultation bookings, sends booking confirmations.
• Twilio - inbound and outbound voice and SMS for our toll-free business phone line (800) 281-5005. See section 6 below.
• Stripe - payment processing for invoices and billing.
• DocuSeal - document signing, self-hosted on our infrastructure.
• GitHub - source code hosting and version control.
• OpenStatus - uptime monitoring and our public status page.
• Anthropic and xAI - AI providers that process only the prompt content submitted to an AI feature.
• Google Workspace / Gmail - receives mail sent to visibleseed.com addresses.
• Notion - internal operations and notes only; not used to store client databases or customer records.

4. Where your data lives and international transfers

VisibleSeed operates from the United States. Our processors above may store or process data in the U.S. and other jurisdictions (e.g. the EU). If you submit data from outside the U.S., you acknowledge it will be transferred to and processed in the U.S., subject to the safeguards each processor uses.

5. Cookies and similar technologies

• Strictly necessary: a small amount of first-party local storage for site functionality (e.g. dismissed banners, last-viewed topics for relevant CTAs) plus Cloudflare bot-mitigation cookies on protected endpoints.
• Analytics: aggregate, privacy-preserving request metrics counted at Cloudflare's edge. No third-party advertising or cross-site tracking cookies are set by us.

You can block cookies in your browser; the site will still work, though some preferences may not persist.

6. SMS and text messaging (Twilio)

Our toll-free business phone line at (800) 281-5005 is operated by VisibleSeed LLC through Twilio, a U.S. cloud communications provider, for two-way voice and text messaging with current and prospective clients of VisibleSeed.

Program description

The VisibleSeed SMS program lets people who have opted in receive text messages from us that fall into one of three categories:

• Customer care: two-way conversational support, replies to questions you send us, scheduling and rescheduling of meetings, and answers about your active or past engagement.
  Example: "Hi Sam, this is Kevin at VisibleSeed. Confirming our discovery call tomorrow at 2pm CT. Reply YES to confirm or text us back to reschedule."
• Account notifications: transactional and operational updates tied to a project, proposal, invoice, deployment, or support ticket you are already working with us on.
  Example: "VisibleSeed: your invoice INV-1042 is ready at visibleseed.com/billing. Reply HELP for help, STOP to opt out."
• Marketing (opt-in only): occasional promotional messages about VisibleSeed services, case studies, events, or offers. You only receive these if you specifically check the marketing SMS opt-in box on one of our forms. This is a separate consent from customer care and account notifications.
  Example: "VisibleSeed: new case study on automating intake for a 14-person construction firm. Read it at visibleseed.com/work. Reply STOP to opt out."

How you opt in

You can opt in to receive SMS from VisibleSeed in any of the following ways:

• Submitting your mobile number through a form on visibleseed.com (such as /start, /contact, or /book) and checking the SMS consent checkbox.
• Texting our number (800) 281-5005 first.
• Providing your mobile number and agreeing to receive text updates as part of a signed client engagement, proposal, or statement of work.

Consent is never a condition of purchase. You are not required to agree to receive SMS in order to use the Site, request a quote, or engage VisibleSeed for services.

Message frequency

Message frequency varies based on your conversation with us, with a typical cap of up to 10 messages per month per recipient across all categories combined. Customer care and account notification volume is driven by the activity on your project. Marketing messages, if you have separately opted in, are limited to a few per month at most.

Carrier rates

Standard message and data rates may apply from your mobile carrier. VisibleSeed does not charge you for SMS.

Opt out and help

• Reply STOP to any text from us to opt out of all SMS from VisibleSeed. You will receive a single confirmation message and no further messages. To rejoin later, text START to the same number or submit a new opt-in through one of our forms.
• Reply HELP to any text from us to receive a help message with contact information, including our support email and a link to this page.
• You can also opt out at any time by emailing privacy@visibleseed.com with the mobile number you would like removed.

Privacy of mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories of mobile opt-in data, including consent records, mobile numbers, and the content of SMS messages, are excluded from sharing with any third parties for their own marketing or promotional use.

The only third parties that handle your mobile information are the service providers we use to operate the SMS program itself: Twilio (for message delivery and carrier connectivity) and, where applicable, your own mobile carrier. These providers process your information solely to deliver and route the messages you have agreed to receive.

Supported carriers and disclaimer

Our SMS program is compatible with the major U.S. wireless carriers. Carriers are not liable for delayed or undelivered messages.

7. How long we keep it

• Contact and project inquiry submissions: retained up to 24 months for follow-up, then deleted unless tied to an active or past engagement.
• Email correspondence: retained for the duration of the relationship and up to 7 years afterward for tax / legal purposes.
• Server logs: typically 30 days at the edge, longer if needed to investigate a security incident.

You can ask us to delete sooner - see section 8.

8. Your rights

Regardless of where you live, you can:

• Ask what information we have about you.
• Ask us to correct or delete it.
• Withdraw consent for ongoing communications.
• Object to or restrict certain processing.
• Receive a portable copy of information you submitted through the site.

EEA / UK residents (GDPR): you also have the right to lodge a complaint with your local data-protection authority.

California residents (CCPA / CPRA): we do not sell your personal information and have not sold or shared it in the past 12 months. You can request disclosure, deletion, and correction.

Email privacy@visibleseed.com or hello@visibleseed.com from the address on file and we'll act on the request within 30 days. We may need to verify your identity before disclosing or deleting.

9. Security

We encrypt traffic with HTTPS (HSTS preload). Application data is encrypted at rest by our processors. Access to systems holding client information is limited to people who need it, protected by multi-factor authentication, and logged. No system is 100% secure, but we work hard to make ours safe.

10. Breach notification

If we discover unauthorized access to personal information you submitted, we will notify affected users without undue delay (and within the timelines required by applicable law) by email to the address on file, with a description of what happened, what data was involved, and steps you can take.

11. Children

The site is not directed at children under 13 and we do not knowingly collect data from them. If you believe a child has submitted information, email us and we'll delete it.

12. Changes to this policy

Material changes will be flagged on the homepage for at least 14 days and reflected in the "Last updated" date above. Continued use after that date constitutes acceptance.
